Trainee Exports Coordinator in Aberdeen, United Kingdom
Our client based in Aberdeen is recruiting a Trainee Exports Coordinator.
The role of Trainee Exports Coordinator is to learn and implement the process of the shipments of export orders to International customers and stock shipments to International Branches in an efficient, effective, compliant and professional manner taking into account the Company’s ISO 9001 certified procedures, agreed Freight Terms and customer requirements and in accordance with export legislation. Full adherence to and understanding of company procedures to ensure trade compliance, export controls and compliance with customs and HMRC legislation.
The main responsibilities of the role are:
Export Shipments
- To liaise with the sales teams on the shipment dates for export orders and ensure that necessary packing material and documentation is available on time for the agreed shipping date
- To liaise with the International Branches on the shipment dates for all Stock Shipments and specific customer export orders and ensure that necessary packing material and documentation is available on time for the agreed shipping date
- Review and agree shipping dates for Stock Shipments with International Branches and optimise the consolidation of freight to ensure customer delivery dates are achieved and costs are minimised
- Select Freight Forwarder / Courier from approved vendor list and seek competitive quotations or use agreed contract prices
- To prepare all Commercial invoices and packing lists in accordance with the requirements of the Customer and Customs Authorities
- Obtain Certificates of Origin in the correct format as specified by the Customer and Customs Authorities
- Obtain proof of export in timely manner
- Update of Exports/Imports management system with all shipments
- Ensure full compliance and understanding of all company related processes and procedures such as ISO 9001
- To ensure that costs for additional services such as freight, export documentation and essential overtime costs are advised and agreed by the customer in advance for customers who require immediate service
Trade Compliance
- Ensure Trade Compliance by following company procedures and controls to prevent breaches of any international trade sanctions or bribery laws
- Obtain export license in the correct format as specified by the Customer and Export Control Authorities
- Involvement in the trade screening processes
The ideal candidate will:-
- Be a recent graduate of Business Management, International Business or Supply Chain courses. However, the client will consider non-graduates with 1-3 years’ experience in an exports (office-based) environment
- Have excellent communication skills
- Have a keen eye for detail
- Be tenacious, driven and motivated
The working hours are Monday - Friday 8:30am - 5pm (37.5 hours per week). The salary is dependent upon experience.
